Job Description
The Functions & Hospitality Supervisor will be responsible for the following Raceday & Non-Raceday duties:-
Raceday:
- Co-ordinate hospitality to sponsors, businesses and other clients as needed
- Co-ordinate any luncheons or major hospitality events
- Review and sell raceday hospitality packages to businesses, social groups etc
Non-Raceday:
- Meet with prospective clients to discuss arrangements, take bookings etc.
- Follow up on client bookings to discuss menus, numbers, special arrangements etc
- Co-ordinate setting up and cleaning up of functions, attend functions as Front-of-House Supervisor to meet all the
clients’ requests and needs.
- Keep a portfolio of photos / pictures of all functions for records and further promotion.
- Manage the Non-Raceday advertising spending within a given budget.
- Promote the functions / hospitality side of the LTC Business and work with the Business Development Sub-Committee
to increase the nett revenue of functions through initiatives that can be approved by the Secretary/Manager and Board
of Directors.
Other:
- Keep the website updated with the latest information with regard to functions and hospitality.
- Other admin duties as required including manning of the office while the Secretary/Manager is on annual leave or
sick leave or away for other reasons.
Hours of Work:
- It is proposed that the Function & Hospitality Co-Ordinator will perform their duties by working a 20 hour week.
- They must be available to attend all functions from arrival of guests to the serving of dessert or until all formalities
are completed. This will require working a majority of Saturday nights, some Friday nights and potentially other nights
during the week, between the hours of 4.00pm till 9.00pm approx.
- Other hours to be worked between Monday & Friday by consultation with the Secretary/Manager. It is envisaged
that Friday would normally be a working day when a wedding function is being set-up for the next day.
- The 20 hours per week is able to be worked flexibly per month. This means that if a particular week requires 25 hours
be worked, if function bookings and work schedule allow less than 20 hours can be worked in the following weeks to balance
the total hours worked across a number of weeks.
Remuneration:
- The LTC will pay a salary of $25,000 per year (plus Superannuation Guarantee) paid weekly at a rate of $480 per week
into a nominated bank account.
- Annual Leave and sick leave will be based on pro-rata award entitlements.
- Hours worked above and beyond the nominated 20 hours per week with the permission of the Secretary/Manager will be
paid at the rate of $24 per hour.
Performance Review:
- The position will be offered firstly on a 3 month trial basis to further assess the suitability of the selected candidate.
- At the completion of the 3 month trial period, if both the LTC and the candidate are agreeable, a formal employment
agreement will be drafted with a number of performance objectives being included.
- The performance of the Function & Hospitality Co-Ordinator will then be assessed on a yearly basis, with the
salary rate to be reviewed, depending on the success of the person to meet their performance objectives.
